Before you start
Three things you'll need.
- A Xero login with Adviser or Standard access to the organisation you want to connect.
- A dexIQ account. If you do not have one, sign up with Xero (link below).
- A work email account you can forward bills from (Microsoft 365 or Google Workspace).

Connecting Xero takes about five minutes. If you sign up with Xero, your dexIQ organisation and Xero connection are created for you, so you can go straight to connecting a mailbox and forwarding your first bill.

Step by step
Connecting Xero to dexIQ.

Sign in to dexIQ
- Go to app.dexiq.com.au and sign in with Microsoft, Google or Xero.
- If you signed up with Xero, your dexIQ organisation is already created and your Xero connection is in place. Skip to step 3.

Connect Xero as your accounting system
- From the dexIQ dashboard, open your profile, then Settings, then the Integrations tab.
- Click Connect Xero. You are redirected to Xero to sign in and approve the consent screen.
- Select the Xero organisation you want to connect. You return to dexIQ and Integrations shows Xero as Connected.
- Tip: you can connect more than one Xero organisation to a single dexIQ workspace. Repeat this step for each.

Connect a mailbox
- In Settings, open the Mailboxes tab and click Connect Mailbox, then choose Microsoft or Google.
- Approve the consent screen for the email account you want to use.
- Copy the forwarding address shown on the Mailboxes page. This is where bills are sent.

Send a test bill
- From your own email, forward a real or sample bill PDF to the forwarding address.
- Within a minute the email appears in dexIQ under Inbox, then AP Autopilot.
- Open it to see the extracted data: vendor, invoice number, total, tax and line items.

Push the bill to Xero
- Review the extracted fields and edit any of them if needed: vendor, account code, tax type, line items.
- Click Approve and Sync to Xero. dexIQ creates the bill, attaches the original PDF, and gives you a link.
- Open the link, or go to Business, then Bills to pay in Xero, to confirm the bill is there.
Permissions
What dexIQ can read and write in Xero.
When you connect Xero, dexIQ requests only the access it needs to do the bookkeeping. It does not touch your Xero settings, payroll or fixed assets.

Xero connection, sorted.
Which Xero access do I need?
A Xero login with Adviser or Standard access to the organisation you want to connect. If the tenant list is empty after consent, your Xero user does not have access to any organisation. Ask the Xero account owner to invite you as Standard or Adviser.
Can I connect more than one Xero organisation?
Yes. You can connect multiple Xero organisations to a single dexIQ workspace. Repeat the Connect Xero step for each Xero tenant. This is ideal for bookkeeping and accounting firms running several client files.
The Connect Xero button does nothing. What do I do?
Disable popup blockers and try again, or open dexIQ in an incognito or private window and connect from there.
A bill is stuck in DRAFT in Xero. How do I fix it?
Open the bill in dexIQ, set the account code and tax type on every line, then click Sync again. Xero holds bills in draft when a required field is missing.
The PDF is missing on the Xero bill.
Wait about 30 seconds and refresh Xero. If it is still missing, re-sync the bill from dexIQ.
I see a "token expired" error.
Disconnect and reconnect Xero from Settings, then Integrations. This refreshes the connection.
How do I disconnect or switch Xero organisations?
Go to Settings, then Integrations, then Xero, then Disconnect. Disconnecting removes dexIQ access on Xero’s side too, so it no longer appears under your Xero connected apps. It stops dexIQ reading or writing to Xero but does not delete bills already synced. To switch organisations, disconnect the current one and connect the new one.
Does dexIQ change my Xero settings?
No. dexIQ does not change your Xero settings, payroll or fixed assets. It reads your chart of accounts, tax rates and tracking categories, and writes bills, payments, bank matches, contacts and attachments, always after a human approves.
